Busy Software for Traders: billing, stock and outstanding control built for a trading firm

Traders do not need a general-purpose ledger book on a screen. They need a bill out in twenty seconds, a live view of who owes what, item-wise margin they can trust, and GST returns that reconcile without a week of rework. That is exactly what Busy does when it is configured by someone who understands trade.

Quick answer

Is Busy Software good for a trading business?

Yes. Busy is one of the most widely used accounting and GST billing packages among Indian traders because it combines fast invoicing, real-time stock, party-wise outstanding and statutory GST returns in a single system. With correct configuration you get item-wise and party-wise profitability, multiple price lists, credit-limit control, e-invoice and e-way bill generation from the invoice screen, and GSTR-1, GSTR-3B and GSTR-2B reconciliation directly from your books. Mark Software, an authorised Busy partner, configures all of this for your item list and your paperwork. Call +91 98900 77714 for a free demo.

A trading business lives on two numbers: what a consignment cost to land and what it finally sold for, and how much of that sale is still stuck with a customer. Most traders can quote both from memory for their top ten parties. The trouble starts at party two hundred, at the twelfth godown transfer of the month, and on the day GSTR-2B does not match the purchase register.

Busy solves this because it was designed for Indian trade rather than adapted to it. Purchase, sale, stock, tax and receivables sit in one ledger, so a single entry updates the invoice, the stock balance, the party account and the GST return at the same time. There is no month-end exercise of stitching an Excel stock sheet to a tally of bills.

This page explains what we actually configure for trading firms — the masters, the billing behaviour, the reports and the compliance settings — so you can judge before you buy whether the setup will match how your firm works.

The five problems traders bring to us

Almost every trading firm that calls us describes the same handful of problems, whatever they sell. The names change; the paperwork does not.

Once you see the list written down, it becomes obvious why a generic accounting package is not enough: four of the five are inventory and receivables problems that only get solved when billing and books are the same system.

  • Billing is slow at the counter because rates, discounts and taxes are looked up manually for every line
  • Stock on the system never matches stock in the godown, so nobody trusts the reorder report
  • Outstanding is tracked in a separate register, so credit limits are discovered only after the goods have gone
  • Item-wise profitability is guesswork, because freight, unloading and discounts are never pushed into cost
  • GSTR-2B mismatch is found at filing time, when it is too late to chase the supplier

Fast, correct billing at the counter

Speed in a trading firm is a configuration outcome, not a hardware one. We set up the invoice screen so the operator types the least possible: item search by alias, short code or barcode, automatic rate pick-up from the party's price list, automatic tax from the item's HSN, and discount rules that apply themselves instead of being typed.

Where you sell the same item in different packs — a bag, a box, a piece — we configure alternate units with a fixed or variable conversion, so the salesman bills in the unit the customer speaks in while stock is valued in your base unit.

Invoice formats matter more than most software vendors admit. We design your print format around what your customers actually need to see: your terms, transport details, LR number, bank and UPI details, previous balance, and a QR code where e-invoicing applies.

  • Item search by name, alias, part number or barcode
  • Party-wise, quantity-slab and season-wise price lists with automatic selection
  • Multi-unit billing with conversion, and multiple MRP handling for the same item
  • Bill-sundry handling for freight, loading, packing, round-off and TCS
  • Custom invoice, challan, quotation and packing-slip formats

Stock that matches the godown

Busy tracks stock at item, godown and, where relevant, batch or serial level, and every sale, purchase, return, transfer and adjustment moves it in real time. For traders the two features that make the biggest difference are godown-wise stock and a proper physical-stock-verification entry.

We configure a stock-taking routine your staff can actually run: print a counting sheet by rack or godown, enter counted quantity, and let Busy post the difference as a shortage or excess with a reason. Over three or four cycles the gap between the book and the floor closes, and the reorder report starts being usable.

Slow-moving and dead-stock analysis is the report most traders discover late. Busy will list items with no sale in a chosen period along with the money locked in them — usually the fastest cash release available to a trading firm.

  • Godown-wise and rack-wise stock with transfer vouchers
  • Batch, expiry and serial-number tracking where the trade needs it
  • Reorder level, minimum and maximum stock with a shortage report for purchase
  • Physical stock verification with variance posting
  • Slow-moving, non-moving and dead-stock valuation

True landed cost and item-wise profit

The single largest reporting gain for a trading firm is landed cost. Freight, octroi-equivalent charges, loading, insurance and clearing are apportioned across the items of a purchase bill by value, quantity or weight, so the cost of every item reflects what it truly cost to have it on your shelf.

Once landed cost is right, item-wise gross profit, party-wise profitability and salesman-wise contribution become numbers you can act on instead of numbers you argue about. We routinely find traders discovering that their highest-turnover item is their thinnest earner.

Busy supports FIFO, weighted average and other valuation methods; we recommend one based on your trade and your auditor's preference and keep it consistent so year-on-year comparisons stay meaningful.

Receivables, credit limits and collection discipline

Traders lose more money to slow recovery than to thin margins. Busy holds bill-by-bill outstanding, so you always know which invoice is open, for how long, and against which credit terms.

We enable credit limit and credit days at party level with a warning or a hard block at billing, so an over-limit customer is caught before the goods leave, not at the next review meeting. Interest on overdue bills can be calculated where your terms allow it.

Ageing analysis, party-wise reminders over email or WhatsApp, and cheque and post-dated cheque tracking complete the loop. Most firms see recovery improve within one quarter simply because the follow-up list stops being a memory exercise.

  • Bill-by-bill outstanding with adjustment and on-account handling
  • Credit limit and credit days with warn or block at invoice entry
  • Ageing analysis in configurable buckets
  • Automated payment reminders on email and WhatsApp
  • Cheque register, PDC tracking and bank reconciliation

GST compliance without the month-end panic

Busy validates GSTIN, applies the right tax from the HSN master, splits CGST/SGST or IGST from place of supply, and produces GSTR-1 and GSTR-3B data directly from your vouchers. E-invoice IRN and e-way bill are generated from the invoice screen itself, so the QR code and IRN print on the same document you hand over.

The feature that saves the most time is GSTR-2A and 2B reconciliation. Busy matches your purchase register against the portal download and lists exactly which supplier bills are missing, mismatched in value, or filed in a different period, so you chase suppliers during the month instead of at the filing deadline.

We test all of this on your own live documents during implementation — a real B2B invoice, a real e-way bill, a real credit note — because compliance that works only in a demo is not compliance.

Reports the owner actually opens

A trading firm needs about a dozen reports, not two hundred. During implementation we build your Busy dashboard around the ones that drive daily decisions and pin them so they open in a click.

Where you want them on the phone, Busy on Cloud or the Busy mobile app puts sales, stock, outstanding and collection summaries in your pocket, which is the practical answer for owners who spend the day in the market rather than at the desk.

  • Daily sales, cash and bank position with previous-day comparison
  • Item-wise and party-wise gross profit
  • Ageing of receivables and top ten overdue parties
  • Stock valuation, shortage and dead stock
  • Salesman and area-wise performance

How we implement it for a trading firm

We start with a demo on your own data — your item list, your invoice format, your GST cases — so you see the fit before you spend. If you go ahead, we import item and party masters, load opening stock and balances, configure billing behaviour and print formats, test compliance end to end, and train your billing staff and accountant separately because they need different things.

Migration from Tally or a legacy package is verified against your trial balance and stock valuation, and we run one parallel cycle before the old system is retired. After go-live you are supported by phone, remote session and, in and around Pune, on site.

Frequently asked questions

Which Busy edition is best for a trading business?+

Most single-location traders run comfortably on Busy Standard. Enterprise becomes worthwhile when you need multi-godown control, branch consolidation, order and quotation workflows, or advanced landed-cost and scheme handling. We confirm the right edition during the demo based on users, godowns and compliance load rather than turnover.

Can Busy handle multiple price lists for different customers?+

Yes. You can maintain party-wise, group-wise, quantity-slab and date-effective price lists, and Busy picks the correct rate automatically at billing. Discount rules can be layered on top, so the counter operator does not have to remember special rates.

Does Busy generate e-invoices and e-way bills for traders?+

Yes. Both are generated from the invoice screen through the government portal, with IRN and QR code printed on the invoice. We test this on your live GSTIN during implementation so it works from day one.

Can Busy show item-wise profit including freight?+

Yes, once landed cost is configured. Freight, loading, insurance and other charges are apportioned across purchase items by value, quantity or weight, so item-wise and party-wise gross profit reflect real cost rather than invoice cost.

Can we move from Tally to Busy without losing history?+

Yes. We migrate masters, opening balances and stock, verify the trial balance and stock valuation against Tally, and run one parallel cycle before switching over completely.

How long does implementation take for a trading firm?+

A standard single-location trader is usually live in 3 to 7 working days, including master import, opening stock, invoice format design and staff training. Multi-godown or multi-branch setups take longer and are planned in phases.

Do you provide training for billing staff?+

Yes. Billing staff, accountants and owners are trained separately, in Marathi, Hindi or English, because each role uses a different part of the system.
